Cancellation Policy
Notice of cancellations must be made in writing to the secretariat (arc16@ec-mice.com). The following cancellation fees will apply, based on the date when the office receives your cancellation notification. "No Shows" are not eligible for a refund. We regret that we cannot offer refunds for "No Shows onsite or online"; however, substitute attendees are welcome.

The Organizing Committee reserves the right to cancel or postpone ARC16, or to change the schedule or venue without prior notice due to force majeure or other circumstances beyond its reasonable control. The Organizing Committee shall not be liable for any loss, damage, cost, or inconvenience incurred as a result of such changes, postponement, or cancellation.
Invitation Letters for Visa Application
To obtain an invitation letter for a visa to Japan, you must complete your conference registration, including payment, before contacting the secretariat with your registration ID. An application form will then be provided; please complete it and return it to the secretariat. The invitation letter will be sent by international mail within 1–2 weeks. This procedure is subject to change in accordance with Japanese Government policy.
